The Position

The Gilder Lehrman Institute of American History is seeking an Information Technology (IT) Systems Administrator to support our network, computers, and software systems to ensure they are secure, stable, and functional. They will support our technology infrastructure at one physical office and for remote work. The successful candidate will have strong analytical abilities, diagnostic skills, and technical aptitude. They will be well-organized and detail-oriented. They will have a solid foundation in IT troubleshooting methodologies and can stay current on the technical knowledge needed to support new and upgraded equipment, software, and systems.

In addition to the day-to-day responsibilities outlined below, the Systems Administrator will be responsible for documenting and tracking various hardware and software in our asset management system. They will use the system to track our hardware and software assets, and manage allocations and maintenance. They will work with external contractors on an ongoing basis to address vulnerabilities and maintain the security of GLI’s infrastructure.

The Systems Administrator will assist the Assistant Director of Technical Services with Salesforce-related tasks. They will also coordinate with the Technical Support Manager to resolve issues involving end-users in our client-facing technologies, e.g., our Learning Management System (TalentLMS) and our Single Sign On application (Auth0) when needed.

This role reports to the Assistant Director of Technical Services. The position is based in New York City. Some weekend and evening hours are required.

Responsibilities 

Systems/Network Support and Management (45%)

  • Provide desktop and end-user support for Windows and Apple devices (desktops, laptops, printers, monitors, phones, tablets, smartphones/iOS) in a Windows Server Environment
  • Handle IT-related on-boarding/off-boarding tasks for staff
  • Configuring and allocating systems for new staff members and interns
  • Adding and removing users from systems during on-boarding and off-boarding
  • Issuing and overseeing the return of hardware
  • Providing network-related technical training to new staff, e.g., getting on the VPN and accessing file servers
  • Manage relationships with equipment, network, and other IT vendors
  • Configure, maintain, test, and restore desktop and system backups and system disaster recovery
  • Maintain and manage VOIP phone system, audio-visual, and other conference room equipment
  • Set up and support remote access to desktop applications and network drives
  • Set up and support Windows Print Services
  • Maintain and support peripherals (copiers, printers, scanners, etc.)
  • Support Active Directory

Application Maintenance and Support (45%)

  • Update and patch endpoint devices, including creating and maintaining system images (Operating Systems)
  • Maintain network, file systems, network-attached devices, and client security
  • Administer, configure, and support business applications such as Google Workspace, Zoom, QuickBooks, Adobe, etc.
  • Manage staff permissions and access for our various software as a service (SaaS) applications such as 1Password, Canva, Vimeo, Stonly, Asana, etc.
  • Maintain and upgrade desktop applications such as Microsoft Office, etc.

Inventory Management (10%)

  • Maintain inventory of all IT hardware, software, and license/subscription assets
  • Fulfill and track approved equipment requests
  • Prepare and dispose of surplus equipment and coordinate and oversee the destruction of unneeded hard drives
  • Manage orders for hardware, software and other IT supplies

Requirements

The successful candidate will have excellent working knowledge of Windows network architecture and security, Windows and Mac computer systems, databases, and client/server technology, including

  • Active Directory
  • Network Attached Storage (NAS)
  • Wireless Access Points
  • PowerShell
  • Databases and data storage systems such as IIS, MySQL, and SQL-Server
  • Anti-Virus software
  • VOIP phone systems

Desired Experience

(If you are not experienced in all of the following tasks or tools, these can be learned while on the job in a supportive environment.)

  • Configuring, testing, deploying, and supporting endpoint devices and peripherals (including desktops, laptops, tablets, printers, copiers, and audio-visual equipment) in a multi-site environment
  • Configuring and troubleshooting network devices, routers and switches, and other network-related hardware
  • Mobile Device Management (Android and iOS platforms)
  • Tracking hardware and software inventory
  • Endpoint Protection and Encryption tools
  • Administering Windows Server 2016 or higher versions and Windows 10 and 11
  • Microsoft Office and Google Workspace
  • Active Directory, Trusts, LDAP, VPN, SMTP, TCP/IP, DNS, NAT, Wireless LAN, VLAN technology

Nice to Have

  • Experience setting up and administering Microsoft Hyper-V and VMware environments
  • Knowledge and experience with a CRM, preferably Salesforce
  • Connection to the Institute’s mission, American history, and/or K–12 education

Compensation

Compensation range: $60,000–$70,000 annually; compensation will be commensurate with the candidate’s experience and other qualifications.
