Salary: Commensurate with experience in operations management, between $85,000-$105,000 USD per year

Localization Lab fights ethnocentric bias in technology and humanitarian innovation through a participatory approach. We make technology accessible to underserved communities in over 200 languages, publish research, and develop educational materials with local organizations. Since 2012, we have worked at the intersection of technology, human rights, and language rights to expand the reach of internet freedom, public interest technologies, and educational materials to communities around the globe. Localization Lab strives to create more equitable technologies and diverse digital spaces through localization, user feedback, and facilitating communication between end users, developers, funders, and organizational partners.

THE ROLE

Localization Lab is looking for an Operations Manager who believes in each individual’s right to access technology and information without barriers. As the Operations Manager, you will report directly to the Executive Director, overseeing Human Resources and the day-to-day financial and administrative operations of Localization Lab. You will ensure that the organization's practices and processes meet regulatory standards and nonprofit best practices align with our core mission, and oversee state and federal nonprofit compliance. This position is responsible for managing all accounting and banking functions for the organization, working closely with the Executive Director to generate and track budgets both for internal purposes and funders, performing administrative duties, and other duties as assigned. 

The successful candidate will be an inclusive and human-centered leader with a clear vision of operationalizing organizational culture. We are looking for someone with a strong background in non-profit program management and project management with a passion for digital rights and inclusion. It is essential that the candidate communicate effectively in diverse, multilingual, and multicultural environments and is mindful of diverse perspectives.

 

KEY RESPONSIBILITIES

The Operations Manager oversees the administrative operations of Localization Lab. They will:

OPERATIONS

  • Work closely with the Executive Director and Management Team to cultivate a culture of transparency, equity, and inclusion across Localization Lab;

  • Oversee the organization’s operations and ensure policies, processes, and protocols that support the organization’s workflows and support Localization Lab’s mission; 

  • Continuously assess and optimize operational systems to enhance collaboration and efficiency across the organization; 

  • Provide logistical support for organizational events, including managing travel arrangements, such as flight bookings and accommodations;

  • Ensure the organization has the necessary infrastructure, including technology and facilities, to operate effectively and scale as needed; 

  • Maintain, update, and secure the organization’s digital infrastructure, ensuring robust data security and the use of technology to support operational and programmatic goals; 

  • Identify and mitigate operational risks, ensuring compliance with relevant regulations and safeguarding the organization’s assets;

  • Develop and maintain contingency and crisis management plans to ensure organizational resilience in the face of unforeseen events.

FINANCIAL MANAGEMENT

  • Work closely with the Treasurer and Finance team to develop and implement financial strategies that support Localization Lab’s growth and sustainability; 

  • Provide oversight of the organization’s budgeting, financial reporting, and compliance with nonprofit regulations; 

  • Collaborate with the Finance team and Board on investment policies and financial planning, attending all board meetings, overseeing investment portfolios, and collaborate with the Board Finance Committee on strategic movements;

  • Oversee the institution’s budget(s), accounts and financial systems, prepare financial reports and cash flow forecasts, quarterly and as required;

  • Oversee bank accounts, disbursements, petty cash and transfers procurement, and contracting;

  • Manage contributor payments, ensuring accurate tracking of invoices, payments, and related documentation.

  • Along with the Treasurer of the Board of Directors, oversee the annual audit, program audits, IRS reporting, and other matters of financial oversight.

HUMAN RESOURCE MANAGEMENT

  • Oversee hiring, contracting, payroll, and contractor compensation; maintain employment records and files necessary employment-related documentation in appropriate jurisdictions;

  • Oversee performance management processes, ensuring regular feedback, professional development opportunities, and alignment of individual and organizational goals 

  • Draft, finalize, and implement human resource policies, including policies related to travel, reimbursements, benefits, and related matters;

  • Serve as initial point of contact for staff, contractor and/or volunteer concerns, including on matters related to disputes, harassment, and related matters; refer matters to Executive Director or Board Chair, as appropriate.

  • Develop and implement strategies for staff retention, well-being, and work-life balance, ensuring the organization remains a supportive and inclusive workplace

ADMINISTRATION

  • Oversee matters of compliance with US, New York State and other applicable jurisdictions’ laws and regulations;

  • Oversee facilities, contracts venues and services; oversee maintenance of equipment and supplies;

  • Oversee internal communications, data/information management and collaboration systems and software; lead on matters of data and information security; basic maintenance of website, email, social media accounts backbone;

  • Lead the organization’s digital transformation initiatives, ensuring the adoption of innovative technologies to improve efficiency, collaboration, and program delivery;

  • Oversee Localization Lab databases, calendars, records, and contacts.

DEVELOPMENT

  • Assist the Executive Director in fundraising, proposal writing, funder/client contact & follow-up;

  • Is responsible for assuring Localization Lab compliance with donor requirements, deadlines, reporting and related matters.

 

TERMS

This is a full-time management position (40 hours/week). Depending on circumstance and location, the position may be salaried or contracted. Localization Lab does not maintain regular physical office space and will work with the Team Managers to support the establishment of an appropriate “home country” workspace.

Compensation is competitive with the nonprofit digital rights & human rights sector with a salary range $85,000-$105,000 USD, a generous benefits package, and paid time off. A cost-of-living supplement may be applied, depending on the Operation Manager’s physical location and the social benefits (or lack thereof) provided by citizenship or residency.

The Operations Manager can expect to spend 2-4 weeks of the year traveling to or working from remote locations, as conditions permit, and must be able to travel with minimal restrictions. Preferred location in New York, NY though this can also be a remote position. The candidate will be expected to work EST working hours (roughly 09:00 - 17:00 EST).

 

REQUIREMENTS 

ALIGNMENT TO THE MISSION AND CULTURE OF LOCALIZATION LAB

  • Alignment with Localization Lab’s mission;

  • Interested in digital rights, digital inclusion, language rights, and better representation online.

EXPERIENCE

  • At least five years mid-senior level experience with financial management (preferably nonprofit), including familiarity with accounting software (e.g. QuickBooks or equivalent), balance sheets, budgeting, and cash flow projections;

  • Proven success in fostering inclusive organizational cultures and leading change to align culture with communication, actions, and policies; 

  • Solid background in financial strategy and management, including budgeting, forecasting, and strategic financial and operations planning;

  • Experience with payroll, contracting, procurement, and associated filing and record keeping, or demonstrated ability to quickly understand requirements, systems and best practices;

  • Experience with data and communications security, and with communications and collaboration and social media/web platforms, or demonstrated ability to quickly understand and implement concepts, practices and tools;

  • Demonstrated ability to lead and develop diverse teams in a collaborative and inclusive manner; 

  • Strategic thinker with a track record of driving organizational change and innovation

  • Experience grant & proposal-writing and communications with donors and clients, including preparing budgets and reports, or demonstrated ability to quickly develop expertise.
