JOB SUMMARY:
Habitat Chicago is currently seeking a professional for the role of Salesforce, Systems, & IT Manager. The Salesforce, Systems, & IT Manager is responsible for leading the development, adaptation, management and maintenance of our Salesforce CRM, IT, systems, and communication support within the organization. Ensure the efficiency of IT infrastructure, relevant IT solutions are implemented according to the organization’s standards and R&D is carried out to ensure existing IT solutions are kept up to date in the changing global environment.
The central aim of Salesforce and IT management is to generate value through the use of technology. The Salesforce, Systems, and IT Manager will help guide the technological direction of Habitat Chicago by constructing strategic plans, overseeing network security, and directing online operations. Additionally, the Salesforce, Systems, and IT Manager may plan and coordinate larger projects, such as installing and upgrading hardware and software, programming and systems designs, and implementation of websites. Strong written and verbal communication skills are necessities. The ability to collaborate with coworkers while building consensus is critical for success in this position.
Responsibilities
ESSENTIAL JOB RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:
Key Responsibility: Salesforce Administration (50%)
- Act as the organization’s point-person for CRM management and optimization, developing an in-depth knowledge of functionality of Salesforce and associated applications.
- Serve as project manager for organizational-related Salesforce and technology systems enhancements; develop schedule and milestones to track the progress of technology implementation.
- Leverage knowledge of industry best practices and work with our business functions to uncover opportunities for business improvements through Salesforce enhancements.
- Stay up to date with the latest releases, product enhancements, and plugins through self-motivated learning and by attending webinars/training provided by Salesforce.
- Evaluate and install new Salesforce releases.
- Help define Salesforce infrastructure strategy, architecture, and processes and implementing configuration changes, including (but not limited to): flow, fields, page layouts, record types, custom settings, dashboards, and reports.
- Monitor all aspects of user and license management including new user setup/deactivation, roles, profiles, permissions, public groups.
- Providing training and support to new and current users and develop new training materials as necessary.
- Manage consultants and vendors to expand capacity and oversee special projects.
Key Responsibility: Leadership (25%)
- Act as the thought leader for Salesforce and IT systems.
- Maintain the organization's effectiveness and efficiency by defining, delivering, and supporting strategic plans.
- Monitor performance of information technology systems to determine cost and productivity levels, and to make recommendations for improving the IT infrastructure.
- Collaborate with teams across the organization to develop technical capacity and ownership of business processes and impact data.
- Assess vendors and develop test strategies for new hardware and software.
- Recommend information technology strategies, policies, and procedures by evaluating organization outcomes, identifying problems, and anticipating organizational requirements.
- Analyze department needs, identify vulnerabilities, and boost productivity, efficiency, and accuracy to inform business decisions.
- Prepare cost-benefit analysis reports when upgrades are necessary, continuously analyzing vendors to ensure they offer the best possible service and value for organization needs.
- Design and lead staff training, draft technology policies and procedures, and create online training materials, presentations, and policy manuals.
- Lead and motivate staff to develop and implement meaningful use of technology.
- Oversee PCI compliance and maintenance of training materials and documentation.
- Lead the organization-wide Salesforce Governance and Technology Steering Committees.
- Implement and manage operational budget and expenditures for technology.
- Work collaboratively with staff at our ReStores and construction sites to provide the technology and support they required to be productive.
Application Management (5%)
- Manage our Microsoft 365 account, along with In Tune endpoint manager and Azure Active Directory for users.
- Create new SharePoint sites as needed and manage user access and security.
- Act as the liaison between staff and our IT vendors.
- Manage IT vendors relations and ensure timely payment processing.
- Provide training or training resources to new and existing staff on office productivity applications and our security policies and procedures.
- Manage shared technology tools like Zoom, Google Workspace, form applications, password manager.
- Manage integrations, particularly between Salesforce and other applications such as fundraising, website, wealth screening.
Key Responsibility: Systems and Technology Maintenance (5%)
- Manage staff in troubleshooting internal IT hardware and software issues, engaging external vendors when needed.
- Collaborate with users, vendors, technicians, and managers to understand and assess computing and system needs and requirements.
- Maintain essential IT operations, including operating systems, security tools, applications, servers, email systems, laptops, desktops, software, and hardware.
- Oversee the purchasing and provisioning of new and/or donated equipment.
- Ensure accurate maintenance of IT asset inventory.
- Maintain and regularly review IT documentation, policies, and procedures.
Key Responsibility: Systems and Data Security (5%)
- Ensure business continuity protocols are implemented to minimize data loss and disruption to business operations during emergency situations.
- Ensure adequate disaster recovery procedures and data backups are implemented.
- Guide the internal Security Incident Response Team and ensure thorough incident response documentation is maintained.
- Ensure implementation of comprehensive cybersecurity awareness program.
Key Responsibility: Teamwork (10%)
As a key Operations Team member, contribute to our organizational health through enthusiastic collaboration, leadership, and personal integrity.

Requirements
QUALIFICATIONS:
Required Knowledge, Skills & Abilities
- Salesforce certified Administrator or Salesforce Advanced Administrator.
- Extensive experience in the administration and maintenance of Salesforce systems.
- Experience in performing Salesforce upgrades and ensuring successful integration.
- Exceptional ability to create and maintain Salesforce databases.
- In-depth knowledge of Salesforce products and their functionalities.
- Ability to provide Salesforce training and end-user support.
- Strong knowledge of Salesforce administration (custom objects, process automation with Flow, validation rules, approval processes, user permissions, data loading, etc).
- Exceptional organization and project management skills to manage complex projects within budget and schedule, as well as the ability to manage external consultants and budgets.
- Solid knowledge of IT security basics (cyber security, incident response, multifactor authentication solutions).
- Self-motivated and able to work independently.
- Excellent communication skills, including writing, grammar, and speaking.
- Superb organizational skills and attention to detail.
- Ability to organize and manage information from a variety of sources and formats.
- Ability to balance multiple tasks simultaneously and meet deadlines.

Education and Experience
- Senior level contributor with minimum of 5+ years’ experience, including experience working within a nonprofit.
- 3-5 years of experience as a Salesforce administrator in a similar environment.
- A bachelor's degree in computer science would be advantageous.
Benefits
POSITION DETAILS:
Reports To: Finance and Operations Director
Supervises: Technology Coordinator
Hours: Full-time; 8am-4pm plus evening and weekend meetings as required.
Environment: The Habitat Chicago office is located at 111 W Jackson. It is accessible by car or by public transit. The Salesforce, Systems, & IT Manager will have a desk, computer, and phone line in an open office environment.
Conditions: Ability to lift 25 pounds, ability to work at a computer for long periods of time.
Compensation: Salaried; $81,000-$86,000, depending on experience. 30+ vacation/sick/personal days per year. 90% employer paid health insurance; access to dental, life and 401k (5% match) plans.
FLSA Status: This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA) and therefore will not earn overtime or compensatory time for additional time worked.
Training: The position will begin with an onboarding period to become familiar with the organization’s work and policies; they will be trained on the specifics of the role through a combination of in-person, online and written trainings and will be expected to take the initiative to review materials as needed and seek understanding of new developments in order to perform their responsibilities.
